Terms of use

Last updated 31 October 2026

These terms apply to anyone using Club HQ, a service of Leapsquad Pty Ltd [ABN to confirm], [registered address to confirm]. By using Club HQ you agree to them.

1. The service

Club HQ lets fishing clubs manage members and memberships, run competitions with their own scoring rules, record catches and publish results. We may improve or change features over time. We'll tell club owners before removing a feature they rely on.

2. Club accounts and roles

  • The person who sets up a club is its owner and agrees to these terms for the club.
  • Owners and admins decide who has access and what role they have: owner, admin, treasurer, weighmaster or member.
  • Keep your login email secure. Tell us if you think someone else has used your account.
  • Competition scoring links let anyone who has them log catches for that competition. Catches logged this way wait for a judge. Owners, admins and weighmasters can switch a link off or replace it at any time.

3. Information your club enters

  • The club owns its member records and results. We only use them to provide Club HQ, as set out in the Privacy Policy.
  • The club confirms it may enter its members' details and, for juniors, has a parent or guardian's consent.
  • The club can download its results at any time and can ask us for a full copy of its data.

4. Fair use

You must not:

  • enter information you have no right to share, or that is false or offensive;
  • try to see another club's information or get around the security of the service;
  • overload the service, copy it, or use it to send spam.

We may suspend access that breaks these rules, and will tell the club owner why.

5. Competitions and results

Scores are calculated from the rules each club sets and the catches its judges approve. The club is responsible for its rules, its judging and its final results, including any disputes between anglers. Club HQ is a tool for running competitions, not the organiser of them.

6. Plans and fees

  • The Starter plan is free. Paid plans are billed yearly in advance at the price on our pricing page when the club signs up. Prices exclude GST, which is added to the invoice.
  • New clubs can try a paid plan free for 3 months, with no card needed. Nothing is charged unless the club chooses to continue; otherwise it moves to the Starter plan and keeps its records.
  • When online payments are available, a booking fee is added to online entry and membership payments and shown to the person paying before they pay.
  • We'll tell club owners about any price change at least 30 days before it applies to them, and they can leave without charge.

7. Availability

We aim to keep Club HQ running at all times but can't promise it will never be unavailable. Catches logged with no signal are saved on the phone and sent later, but a phone that is lost or reset before it reconnects loses them. Clubs should keep a backup way to record results at important events.

8. Liability

Nothing in these terms limits rights you have under the Australian Consumer Law. Otherwise, as far as the law allows, we're not liable for indirect losses or for losses caused by information that users enter. Our total liability to a club is limited to the fees it paid us in the previous 12 months, or $100 if it paid nothing.

9. Ending

A club can close its account at any time. We can end access with 30 days' notice, or straight away for a serious breach of these terms. After closure, we delete the club's data as described in the Privacy Policy.

10. Changes and governing law

We'll give club owners at least 14 days' notice of material changes to these terms. These terms are governed by the laws of New South Wales, Australia.
