Club membership renewals without the spreadsheet
A simple club membership renewal routine for fishing club treasurers: one membership year, one reminder schedule, and a receipt for every payment.

Every club has a treasurer who dreads July. Half the members pay by bank transfer with no reference, a few hand over cash at the meeting, and someone always swears they paid last year.
Renewals get easier with a few simple rules that everyone knows.
Pick one membership year
Choose a single year for everyone, usually 1 July to 30 June to line up with the financial year. Anyone who joins part-way through pays for the rest of that year. Running everyone on their own anniversary sounds fairer, but it turns renewals into a job that never ends.
If someone pays in the last month or two of the year, it's normal to roll them into the next year as well. Write that rule down so it's the same for everyone.
Set the fees in one place
List each membership type with its fee: senior, junior, family, life member, and whatever else your club offers. Juniors and life members often pay nothing, but they should still renew so you have current contact details and emergency contacts.
Give every payment a reference
Bank transfers are the main source of confusion. Ask members to use their member number or surname as the reference. Put those instructions on the join page and in every renewal reminder.
Send reminders on a schedule
A simple schedule that works for most clubs:
| When | What |
|---|---|
| A month before the year ends | Renewal notice with fees and how to pay |
| When the year ends | A friendly reminder to anyone unpaid |
| A month after | Last reminder, then mark them lapsed |
Keep reminders short and friendly. Most people who haven't renewed have simply forgotten.
A receipt for every payment
Record every payment against the member, whatever the method, and issue a numbered receipt. It answers "did I pay?" in seconds. It also gives your auditor a clean list at the AGM.
Let new members join themselves
A join page that anyone can fill in saves the secretary re-typing forms. The application lands with the committee, they approve it, and the member is active as soon as their payment is recorded.
How Club HQ handles it
Club HQ is club membership software built for fishing clubs. It has a membership year you set once, fees for each membership type, an online join page, and payments with numbered receipts. Members can see their own receipts and when their membership runs out. Automatic reminder emails and online card payments are on the way. You can follow their progress and vote for them on the feature request board.
